Company Settings

The Company Settings tab allows you to configure your organization’s core business information that appears on declarations, invoices, and throughout the Borderbolt platform.

Company Information

Basic Details

Configure your organization’s legal and operational information:

  • Company Name: Your organization’s legal or trading name
  • Address: Street address for your business location
  • Zip Code: Postal code
  • City: City or municipality
  • Country: Select your country from the dropdown

Customs Identifiers

These identifiers are essential for customs declarations:

  • EORI Number: Economic Operators Registration and Identification number
    • Required for customs operations in the EU
    • Format: Country code + unique number (e.g., NL123456789012)
  • VAT Number: Value Added Tax identification number
    • Used for invoicing and tax reporting
    • Format varies by country

Contact Information

Communication Details

Configure how customs authorities and customers can reach you:

  • Phone Number: Primary business phone number
  • Email Address: Primary business email for official communications

These details appear on:

  • Customs declaration documents
  • Invoices and statements
  • System-generated emails
  • Export documentation

Logo Upload

Upload your company logo for branding across the platform:

Supported Formats:

  • JPEG (.jpg, .jpeg)
  • PNG (.png)
  • GIF (.gif)
  • WebP (.webp)
  • SVG (.svg)

Requirements:

  • Maximum file size: 2MB
  • Recommended dimensions: 300x300px or larger for best quality
  • Transparent backgrounds (PNG/SVG) work best

Storage

Logos are stored as base64-encoded data URIs directly in the database, ensuring:

  • Fast loading times
  • No external file dependencies
  • Automatic backups with database

Where Your Logo Appears

Your company logo is displayed on:

  • Declaration documents (SAD, UTB, IIAA)
  • Invoice headers
  • Email communications
  • Customer portal (if enabled)
  • PDF exports

Updating Settings

  1. Navigate to Settings → Company Settings
  2. Update the desired fields
  3. Changes are saved automatically on blur (when you click outside the field)
  4. For the logo, click the upload button and select your file

Company settings are organization-specific. Each Borderbolt organization maintains its own company configuration.

Best Practices

EORI Number

  • Verify your EORI number is active and valid with customs authorities
  • Ensure it matches the EORI registered with Dutch Customs
  • Keep this information up-to-date to avoid declaration rejections

VAT Number

  • Use the format required by your country (e.g., NL123456789B01 for Netherlands)
  • Ensure VAT number is registered and active for cross-border transactions
  • Update immediately if your VAT status changes

Logo Guidelines

  • Use high-resolution images for professional appearance
  • Consider using SVG format for scalable, crisp logos at any size
  • Ensure logo is visible on both white and colored backgrounds
  • Avoid logos with excessive text that becomes unreadable when scaled down

Permissions

To edit company settings, users must have the Settings permission. This is typically assigned to:

  • Admin role
  • Manager role
