Document Management
Borderbolt includes a built-in Document Manager for uploading, viewing, downloading, and emailing files attached to declarations, transit declarations, and dossiers. Documents are stored securely with full organization isolation.
Opening the Document Manager
The Document Manager is accessible from multiple locations:
- Declarations — Click the Documents button in the declaration detail header
- Transit declarations — Click the Documents button in the transit detail header
- Dossiers — Open the document panel from the dossier form
The Document Manager opens as a modal overlay showing all documents attached to the selected record.
Uploading Documents
Drag & Drop
Drag one or more files directly into the upload area. A visual indicator confirms the drop zone is active.
File Picker
Click the upload area to open your system’s file browser and select files manually.
Upload Options
Before uploading, you can optionally set:

| Description | Free-text note about the file(s). Applied to all selected files. |
Files are uploaded sequentially (one at a time) with progress indication per file.
File Restrictions

Files that exceed the size limit or have a blocked extension will be rejected with an error message.
Document Types
Each uploaded document can be categorized into one of the following types:
Shipping & Logistics
- Invoice — Commercial invoice
- Packing List — Itemized packing list
- Bill of Lading (B/L) — Sea freight transport document
- Airway Bill (AWB) — Air freight transport document
- CMR — International road consignment note
- Clearance Order — Customs clearance order
Certificates & Permits
- Certificate of Origin — General certificate of origin
- EUR.1 — Preferential origin certificate (EU trade agreements)
- A.TR — Turkey movement certificate
- Health Certificate — Health/sanitary certificate
- Phytosanitary Certificate — Plant health certificate
- Import Permit — Import license/permit
- Export Permit — Export license/permit
- Export Declaration — UK CHIEF or third-country export declaration
Customs & Special Documents
- Customs Valuation — Customs valuation document
- Insurance — Insurance document
- Contract — Commercial contract
- Correspondence — General correspondence
- UTB — Uitnodiging tot Betaling (Invitation to Pay)
- Emergency Procedure — Noodprocedure document
- SAD — Single Administrative Document
- Other — Uncategorized documents
Viewing & Downloading
Each document in the list shows:
- File name and document type badge
- File size in human-readable format (KB, MB)
- Upload date and time
- Uploader name
- Description (if provided)
Actions per Document

| View (eye icon) | Opens the file inline in a new browser tab. Works well for PDFs and images. |
| Download (arrow icon) | Downloads the file with its original filename. |
| Edit (pencil icon) | Update the document type and description metadata. |
Documents cannot be deleted once uploaded. This is by design to maintain a complete audit trail for customs compliance.
Emailing Documents
The Document Manager allows you to email one or more documents directly from Borderbolt.
Sending Documents
- Select documents using the checkboxes next to each file (or use Select All)
- Click the Email button
- In the email dialog:
- Toggle Send to myself to include your own email address
- Enter additional recipient email addresses (comma or newline separated)
- Optionally add a message (max 1,000 characters)
- Click Send
Email Size Limits
The total size of all selected documents must not exceed your configured email attachment limit. This limit is configurable in Settings > Company Settings and defaults to 25 MB.
If the combined file size exceeds the maximum, the Send button will be disabled with a size warning.
SAD Upload Notification
When a document is uploaded with the type SAD (Single Administrative Document), Borderbolt automatically triggers customer notifications for any pending release notifications. This integrates with the customs response workflow to notify customers that their SAD is ready for collection.
Audit Trail
All document activity is tracked:
- Upload tracking — Each document records who uploaded it and when
- Email logging — Every email send is logged with recipients, subject, document list, and success/failure status
- Immutable storage — Documents cannot be deleted, ensuring a complete history for compliance audits
