Portal Declarations

The Declarations view in the Customer Portal allows your customers to see all their submitted customs declarations, track their status, and download related documents.

Viewing Declarations

The main declarations list shows:

  • Reference Numbers: MRN (Movement Reference Number) and LRN (Local Reference Number)
  • Declaration Type: H1, H7, B1, etc.
  • Status: Visual badges showing current status (NEW, ACC, REL, REJ, etc.)
  • Date Submitted: When the declaration was submitted to customs
  • Customer Reference: Internal reference number for tracking
  • Total Value: Declared value of the shipment

Customers can filter declarations by:

  • Status: Show only accepted, rejected, released, etc.
  • Date Range: Filter by submission date
  • Declaration Type: Import or Export
  • Search: Find declarations by MRN, LRN, or customer reference

Declaration Details

Clicking on a declaration opens the detailed view, which includes:

Header Information

  • Movement Reference Number (MRN)
  • Local Reference Number (LRN)
  • Declaration type and office
  • Declarant information
  • Consignor and consignee details
  • Transport information

Declaration Lines

A table showing all goods items in the declaration:

  • Item number
  • Commodity code (HS code)
  • Description of goods
  • Country of origin
  • Quantity and weight
  • Customs value
  • Duty and VAT amounts

Status Timeline

An interactive timeline showing the declaration’s journey through the customs process:

  • NEW: Declaration created
  • Submitted: Sent to customs
  • ACC: Accepted by customs (with timestamp)
  • CTL: Control notification (if applicable)
  • REL: Released (cleared for import/export)
  • REJ: Rejected (with reason)

Each status change shows:

  • Status name and description
  • Date and time
  • Additional details or messages from customs

Supporting Documents

Documents attached to the declaration:

  • Invoices
  • Packing lists
  • Bills of lading
  • Certificates (origin, health, etc.)
  • Permits and licenses

Customers can:

  • View: Preview documents in the browser
  • Download: Download documents to their device
  • Upload: Add additional supporting documents (if enabled)

Generated Documents

Customs-generated documents available for download:

  • SAD (Single Administrative Document): The official customs declaration form
  • UTB (Uitnodiging tot Betaling): Payment invitation for duties and taxes
  • IIAA: Import declaration acknowledgement
  • CMR: International consignment note (if applicable)

These documents are automatically generated by Borderbolt and are available as soon as the declaration is processed.

Declaration Status Indicators

Status badges use color coding for quick recognition:

Exporting Declarations

Customers can export their declaration data:

  • Export to CSV: Download declaration list as CSV for analysis
  • Export to Excel: Download as Excel workbook with formatting
  • Print: Print-friendly view of declaration details

Notifications

Customers receive notifications when:

  • A declaration status changes (e.g., accepted, released, rejected)
  • Customs requests additional documents
  • A control notification is issued
  • Duties and taxes are calculated (UTB available)

Notification preferences can be configured in the user’s profile settings.

Common Actions

Download All Documents

Use the “Download All” button to download all documents related to a declaration as a ZIP file. This includes:

  • All uploaded supporting documents
  • Generated customs documents (SAD, UTB, etc.)

Request Amendment

If a declaration needs to be corrected, customers can use the “Request Amendment” button to notify you (the customs broker) that changes are needed. This creates a support ticket or notification in your main Borderbolt dashboard.

For shipments with multiple declarations (e.g., consolidations), the portal shows links to related declarations, making it easy to track the entire shipment.

Access Restrictions

Customers can only view declarations that belong to them or their associated customer accounts (for freight forwarders using the “My Customers” feature). All data is securely isolated per organization.
